Eligible Participants: Only office/support staff and their immediate supervisors and production employees and their immediate supervisors (i.e. drivers, warehouse, packaging & equipment personnel) of Canyon State Oil Company are eligible to participate in the Partners in Performance program.

Not Eligible: executive staff, branch managers, salespersons, and sales managers.

How it Works:
All employee participants will earn performance points redeemable from the Deluxe Catalog of Awards. Points earned in the Years of Service Award Program(s) will be posted to the website, then deposited immediately (upon your personal anniversary month) into your personal bank account, after earning 40,000 total points.

Points earned in all other Performance Programs will be reported and posted to the program website. Once a participant earns 40,000 total points, 80% of the available earned points will be deposited into your personal bank account. Points deposited into your bank account are available for immediate redemption or can be held for future deposits of additional earnings, which might be used to redeem items of greater value. 20% of Performance Points will be withheld from personal bank accounts and held in escrow, for all program participants. 

Upon an employee’s 5th anniversary, all escrow points held will be deposited to your personal bank account. From that point forward, all points will be deposited at 100%.

Years of Service Awards

All Employees that celebrate their personal 1, 3, 5, 10, 15, 20, 25, 30 or 35th year of employment beginning in 2006 and beyond, will earn points based upon the table below, along with a personalized Certificate of Appreciation.

Performance Awards

Performance Programs are programs where eligible employees earn awards based upon their personal performance on the job, instead of seniority.

All of the following Performance Point Awards will be issued monthly and annually. Employees begin earning points monthly, and their individual point earnings total will be available on the website. Employees must earn a total of 40,000 points before their Performance Program earnings are deposited into their personal bank account. Once their initial 40,000 Performance Program Points are earned, 80% of the available Performance Program Points will be deposited. The remaining 20% of Performance Points will be held in escrow until the employees 5th anniversary.

Year-End Bonuses are awarded in June of each program year; deposited in July.

Point Awards Breakdown:

Safety Awards 

Production Employees Only (All drivers, warehouse, packaging, equipment, etc.) 

All production personnel who experience a complete month without a reported lost-time incident or accident will earn a bonus of 2,000 points. All production personnel who complete a quarter, accident & incident -free will receive a Quarterly Safety Bonus of 4,000 points. 

Each of the four Quarterly Safety Bonuses stand on their own, meaning an employee who incurs a lost time accident or incident in one quarter will be ineligible for the Quarterly Safety Bonus in that quarter only. Subsequent quarters that are accident or incident -free will allow for the employee to be eligible for the Quarterly Safety Bonus once again.

In addition, any production employee who also experiences the full-year without a reported lost-time accident will receive a Year-End Safety Bonus of 16,000 points. 

Employees must be employed a minimum of 12 months to be eligible for the Year-End Safety Bonus. 

Punctuality and Attendance Awards 

Office/Support & Production Personnel

Punctuality Awards. All eligible employees who report to work on time at 100% of the scheduled monthly workdays (and work the full scheduled shift without an unexcused absence) will earn 1,000 points each month. All eligible employees whose on-time reporting at year-end is 100% of the eligible workdays will earn a bonus of 16,000 points. Thus the total employee earnings potential is 28,000 points.

Attendance Awards. All production employees who report for work 100% of the scheduled monthly workdays (and work the full scheduled shift without an unexcused absence) will earn 1,000 points. All production employees whose Attendance at year-end is 100% of the eligible work days without an unexcused absence will earn a bonus of 16,000 points. Thus the total production employee Attendance Awards earnings potential is 28,000 points. 

Attendance Awards. All office/support employees who report for work 100% of the scheduled monthly workdays (and work the full scheduled shift without an unexcused absence) will earn 2,000 points. All pffice/support employees whose attendance at year-end is 100% of the eligible work days without an unexcused absence will earn a bonus of 32,000 points. Thus the total office/support employee Attendance Awards earnings potential is 56,000 points. 

Eligible employees must be employed a minimum of 12 months to be eligible for the Year-End Punctuality & Attendance Reporting Bonuses. 

Training Awards

All eligible employees and supervisors will take a monthly, featured Training Unit on line. When you pass the accompanying quiz, you will earn 3,000 points for the featured monthly Training Unit successfully completed at a score of 80% or greater. 

Please note that you will not receive points for supervisor assigned units. Only for the featured, monthly unit.

New Employee Welcome Bonus

All new eligible employees (office/support & production) who complete 3 months, 6 months and one-full year of active and continuous employment will earn New Employee Welcome Bonuses of 5,000 points each, in the month following their employment anniversaries at 3 months and 6 months and a 10,000 point award after one year of service. The total point earnings opportunity is 20,000 points.

Eligible employees will earn the New Employee Welcome Bonus only during their first year of employment with CSO.

Inventory Bonus

Employees that participate in the monthly inventory count and who achieve 95% accuracy will be recognized by their supervisor with an Inventory Bonus of 1,000 points. This bonus is solely at the discretion and request of the supervisor.

Other Bonuses

Other bonuses such as the Commitment Bonus and Family Want List Bonus (250 points earned each) will be awarded upon successful completion as required.

Driver Program Awards

Experienced CSO Drivers will be recognized and designated as “Master Driver Trainers”. These individuals will receive 50,000 points and a plaque recognizing their achievement.

Master Drivers will receive bonus points when new drivers under their training, achieve the following:

Trainee completes first 90 days:                        20,000 points

Trainee celebrates one year anniversary:            20,000 points

Suggestion Program Awards

All employees will earn award points for submitting cost savings ideas that are approved and implemented by CSO. Employees will earn 20,000 points for each cost saving idea that is approved and implemented.

In addition, employees submitting ideas will be entered into a quarterly sweepstakes drawing for bonus points. There will be 10 winners of 20,000 points, each quarter.

Overall Program Features 

Once eligible, participants who have had points deposited into their personal bank accounts, after achieving the 40,000 point minimum, will begin receiving Monthly Performance Statements at the email address provided (optional) or at their home addresses, upon request.

If for any reason your employment with Canyon State Oil is terminated, all accumulated points become null and void on the date of termination. All points will be forfeited and unable to be redeemed.

Miscellaneous

Canyon State Oil Company will pay for all performance point awards including merchandise awards, plus shipping & handling (both included in the award’s total point value), and applicable state & local sales taxes.

Under IRS regulations, employee awards are taxable and must be included in gross income. CSO will cover all applicable federal, state & local income taxes on awards redeemed by grossing up employee pay. Generally speaking, points earned from all Performance Programs are subject to federal, state, and local income taxes (with the exception of the Safety Awards component, and awards earned for Years of Service at 5,10,15,20 & 25 Years). The taxable value of redeemed awards will be reported via W-2 for the taxable year in which they were redeemed as gross income.

Final Program Rulings. Canyon State reserves the right to amend or cancel any program feature or the entire program at any time, without notice. Canyon State Oil reserves the right to resolve all disputes, and their decisions will be final.

How to Order Awards 

Please refer to your Point Bank statement, emailed to you each month or available at any time on the online Catalog of Awards site. If you have provided an email address , you will receive a personal Point Bank Statement listing your total point earnings, points redeemed (previous month), and points available for redemption, every month, after attaining the 40,000 Point Earnings minimum.

When you are ready to redeem your Performance Points for awards:

Go to the online Award Catalog site via the link provided on the PIP site home page. Log in and select the item that you would like to order. Choose the quantity and Add to Cart. When all items have been added to cart, you may submit the order. You will be asked to confirm the shipping address. You can track the progress of your order under My Account, My Orders.

You may also place your orders via fax. A paper catalog and fax award selection form will be available to you at each CSO location. See your supervisor if you would like to use the paper catalog to order. Please print or type your order. Include your complete street address, zip code and daytime phone number. Please furnish a street address, since deliveries cannot be made to P.O. boxes. Be sure to include the award number and description. If required, please indicate size and color. The name of your awarding company must appear on the Award Selection Form. Once, you have completed the form please fax to Awards Headquarters 773-890-0939

Merchandise Award Fulfillment

The Total Point Value shown online includes shipping & handling.

In-stock items, shipping within the United States, will ship from our warehouse within 24-48 hours. Approximately 10% of our orders ship directly from the manufacturer. These drop-shipped orders can take up to six weeks for delivery.

If an item is discontinued by the manufacturer, we will attempt to replace it with one of equal or greater value.

We cannot accommodate international shipments of merchandise featured in the catalog.

Exception Returns: Customer Service will accept returns for unused merchandise that is not damaged or defective, within the 30-day return period. Once approved, customer service will provide a RMA (Return Merchandise Authorization) number you. Merchandise must be packed in original packaging and in complete resalable condition. You are responsible for return freight to customer service. Credit issuance for these exception returns will be for merchandise only, freight and handling will not be included.

Defective Merchandise: If an item is inoperable or defective upon receipt (not due to damage in transit), you should contact customer service at 1-800-621-4112 within 30 days of shipment. Customer service will issue a call tag. Upon return of defective merchandise, customer service will either enter a replacement order, or note points should be refunded to you. If an item’s defect appears more than 30 days from shipment, customer service will then provide you with a proof of purchase. Proof of purchase may be used directly with manufacturer to arrange for appropriate service or return.

Damaged Merchandise: You should identify damaged merchandise within 24 hours of receipt. You should then contact customer service at 1-800-621-4112 (identified on packaging) to facilitate the processing of a claim with shipping carrier. In order for the shipping carrier to approve a claim on damaged merchandise, it is imperative that the recipient keep all packing materials, as well as hold the damaged merchandise at the location it was received. Damaged merchandise should not be moved to a different location for pick up. Customer service will advise you of these policies. Upon verification of a claim, customer service will then ship a replacement, or if you prefer, a point refund.

Undeliverable Merchandise: Items returned to customer service as undeliverable will be credited to you and you will be contacted to verify if a replacement order should be shipped.
